Transforming NexCorp from spreadsheets to a scalable hiring platform that reduced recruiter workload by 45%

When we first partnered with NexCorp, most of their healthcare clients (clinics, hospitals, staffing agencies) were still managing recruitment on Excel sheets, phone calls, and even paper applications. The legacy 2016 dashboard was clunky, rarely used, and couldn’t scale.

The challenges

Version 1: Introducing a Modern Dashboard

The legacy 2016 dashboard was extremely outdated and rarely used. (You can see some screenshots of the old dashboard above.)

To validate whether staff and clients would even adopt a digital solution, we built Version 1 — a minimum viable digital dashboard. We designed and launched NexCorp’s first true digital dashboard for both healthcare practitioners (HCPs) and healthcare organizations (HCOs).

Key Highlights:

1. Centralized applicant management: moved 90% of tracking from Excel into the platform.
2. Structured job postings: cut posting time from 30 minutes to under 8 minutes.
3. Candidate profiles: eliminated email back-and-forth by consolidating resumes and details.

Within 4 months of rollout, 75% of clients adopted the dashboard as their primary tool — validating the shift away from paper/manual workflows.

Version 2: Designing for Adoption at Scale

Version 1 confirmed that healthcare staff and organizations were ready to move away from spreadsheets and adopt a digital dashboard.
But adoption alone wasn’t enough - if NexCorp was to scale, the experience needed to be faster, more accessible, and built around real user needs.

Through 20+ client interviews and 35+ usability sessions, we uncovered critical gaps:

1. HCPs needed a mobile-first experience to apply for jobs on the go.
2. HCOs required faster filtering and applicant tracking to handle hundreds of applicants, not just dozens.
3. Accessibility issues made onboarding unnecessarily difficult for certain users.

Our Approach to Redesign:

1. Streamlined user flows: reduced the job application process from 6 steps → 3 steps.
2. Re-architected dashboards: surfaced key KPIs like open positions, new applicants, and time-to-fill for recruiters.
3. Mobile app for HCPs: enabled practitioners to search, save, and apply to jobs in under 60 seconds.
4. Refined design system: modern typography, accessible color standards, and fully responsive layouts ensured consistency and scalability.

With Version 2, NexCorp became more than a digital tool. It became a scalable hiring platform that delivered speed, efficiency, and measurable impact across healthcare recruitment.
